REGULATIONS ON ACCESS TO THE COLLECTIONS
Of the Władysław Grabski Main Library of the
Warsaw University of Life Sciences

I. GENERAL PROVISIONS
- The Władysław Grabski Main Library of the Warsaw University of Life Sciences, hereinafter referred to as SGGW Main Library, is a university-wide unit with research, teaching and service tasks; it also serves as a scientific information center and public scientific library.
- The library and information system of SGGW consists of: the Main Library and Department Libraries.
- The reading rooms of libraries are public.
- SGGW Main Librart and Departmental Libraries provide services in the field of access to collections, scientific information and reprographic works.
- The readers are informed about the opening times of SGGW Main Library and Departmental Libraries through the information provided at the entrance to the individual Library’s agendas, on the Internet, and in folders and leaflets.
- The collections of SGGW Main Library are available::
- on-site to all interested readers,
- through individual rentals,
- through interlibrary loans.
- SGGW research faculty, SGGW employees who are not academic teachers, GGW doctoral students, SGGW students and SGGW retired staff are entitled to borrow the Library’s collections.
- The library does not lend the following collections:
- magazines,
- encyclopedias, linguistic and thematic dictionaries, guides,
- publications especially valuable for the Library,
- Polish prints published before 1948,
- two copies of the same work to one reader,
- special collections (e.g. original diploma theses, standards, cartographic collections),
- materials of large format and volume or in poor condition,
- documents brought by way of interlibrary loans.
- The library does not allow the copying of special collections.
- The library provides its readers with access to the Internet in order to search for scientific literature..
II. ACCESS TO THE COLLECTIONS
A. General Rules
- The document entitling to borrowings is:
- student card or student book (“indeks”) for students,
- for postgraduate students and students of inter-university exchange, a current document issued by the appropriate unit of the University (e.g. name list, etc.),
- PhD student ID for PhD students,
- for University employees a document confirming employment at SGGW.
- Employees of the library and information system are authorized to make copies of the identity document.
- SGGW retired faculty make loans on the basis of a deposit paid at the University’s cash desk.
The amount of the deposit is determined by the Rector of the University at the request of the Library Director. - The term of loans is specified separately for each unit of the Library.
- In the event of exceeding the deadline for return, the Library charges a fee for each day of delay.
The amount of the fee is determined by the Rector of the University at the request of the Library Directo - The reader may extend the deadline for returning borrowed books via the Internet or directly at the Library before its expiry, unless an order has been placed for them by another reader.
- Exceeding the deadline for return causes the account to be blocked in all the Library’s departments.
- The account is unblocked after the retained books are returned and the confirmation of the payment of the accrued debt is submitted to the appropriate unit of the Library.
- In justified circumstances, the library has the right to request the return of borrowed materials before the agreed date.
- The reader can view his / her account via the Internet and, upon request, may receive a computer printout of the account from the librarian on duty.
B. Provision of electronic resources
- The Library makes available electronic resources in the form of abstract or full-text databases to researchers, students and other employees of the University.
- Electronic resources are made available by the Library in accordance with the terms of the license granted by the supplier, on computers belonging to the University’s computer network (IP number), or on the basis of a login and password assigned to authorized persons..
- As far as technically possible and with the consent of the database provider, the Library may redirect resource usage permissions to the private computer of an authorized reader.
- Users of electronic resources are required to comply with the rules of using specific databases. Failure to comply with the above-mentioned rules may result in the withdrawal of the authorization to use the electronic resources of the Library.
C. Reading Room with open stacks and warehouse of the Main Library
- In the Reading Room, all interested readers can use the collections in open stack.
- Using the collections stored in the Warehouses is possible after placing an order with the librarian on duty and leaving the current document..
- Research workers from the Warsaw University of Life Sciences, SGGW employees who are not academic teachers, PhD students of the Warsaw University of Life Sciences and SGGW retirees are entitled to borrow collections from the Reading Room and Book Storage Roms.
- Up to 5 volumes can be borrowed from the Reading Room and Storage Rooms at a time in each of the units.
- For titles with particularly high demand, the number of books borrowed and the date of borrowing are determined by the librarian on duty.
- Rental period:
- up to 30 day for SGGW doctoral students, employees of WULS-SGGW who are not teachers, academics and SGGW retirees,
- up to 6 months for research workers of the Warsaw University of Life Sciences, up to 12 months for chairs and other organizational units of the University that make long-term loans.
- Books borrowed for a period of 12 months, on the basis of the lending form (“rewers”) , by Chairs and other organizational units are directly debited from the Head of the Department’s account. The borrowed collections are beyond the set limit of his individual borrowings.
- In the Reading Room, at the place designated by the librarian on duty,you can use the diploma theses on the basis of Rector’s Ordinance no. 22 of 30 November 2004.
- The possibility of using diploma theses is available to:
- academics of universities and scientific institutions as well as people writing doctoral and habilitation theses,
- SGGW students on the basis of the written consent of their supervisor,
- students from outside SGGW on the basis of the written permission of their supervisor and the supervisor or head of the SGGW unit, under whose supervision the thesis was written,
- in justified cases, theses may be used by other persons on the basis of the written permission of the supervisor or the head of the unit in which the thesis was written.
- on which the supervisor may consent to the use of diploma theses, are available on the website of the Library or from the librarian on duty.
- The following are not borrowed from the Reading Room::
- textbooks,
- publications for which there is a particularly high demand on the part of students
- and the collections included in chap. I point 8.
D. Didactic Reading Room with a collection of the so-called “Quick Rental”
- Only students of SGGW can borrow Books intended for the so-called”QUICK RENTAL”. The “Quick rental” status is granted by the librarian on duty at the Student Lending Room or at the Lending Department.
- 2 volumes can be borrowed at a time.
- The rentals is for 24 hours.
- If the deadline for return is exceeded, the Library will charge a fee for each additional day.
After the books are returned and the student provides a proof of payment for exceeding the deadline for return, the librarian in the Reading Room or in the Student Textbook Lending Room shall remove the blockade of the account. - After each transaction, the reader can print out the current balance of his or her account.
E. Student Textbook Lending Room
- The following persons are entitled to use the Student Textbook Lending Room: students, research workers of SGGW, employees of SGGW who are not academic teachers, doctoral students of SGGW and retired faculty of SGGW.
- Students of WULS-SGGW have priority in borrowing textbooks.
- At one time, readers can borrow:
- 5 volumes for students, research workers of SGGW, employees of SGGW who are not academic teachers, PhD students of SGGW and retired faculty of WULS-SGGW,
- 10 volumes – for students studying in more than one program at SGGW.
In order to exercise this right, the student should present the Lending Room employee with the current student books of the programs in which he or she studies.
- All readers have a 30-day borrowing period.
- The library account of an employee, doctoral student and student is valid for 5 years. After this date, the account may be activated on the basis of a current document confirming the continuation of studies or employment at SGGW.
- A postgraduate student account is valid for 2 calendar years.
- An account of a student from an inter-university Polish and international exchange is valid for the duration of the studies at the Warsaw University of Life Sciences.
- In order to borrow a book, it must be ordered on your own account, using the Student Lending Room catalog on the website of the Main Library. The copy in the Lending Room is available from the moment of placing the order.
- The reader can order a book that is currently on loan. The borrowed copy is available from the moment it is returned by the previous reader, and the reader will be informed about its return by e-mail.
- Ordered books can be picked up in the Lending Room within 3 days. After the waiting period has expired (3 days) the book can be borrowed by the next person.
- The reader may extend the deadline for returning the borrowed books via the Internet or directly at the Lending Room before its expiry, unless an order has been placed for them by another reader.
- Readers studying in extramural mode are allowed to extend overdue books (provided there are no orders for them) and borrow new ones to an account burdened with debt, provided that the overdue fee was charged during the current study meeting session. The reader is required to provide proof of payment within one month. In the event of failure to meet this deadline, the account is blocked.
F. Faculty Libraries
- All interested readers can use the open stacks collections in the faculty library.
- Using the collections stored in the Library Storage room is possible after placing an order with the librarian on duty and leaving the current document.
- SGGW academic faculty, non-academic employees of SGGW, SGGW doctoral students and SGGW retired faculty are entitled to borrow collections from the library.
- You can borrow 5 volumes at a time.
- For titles with particularly high demand, the number of books borrowed and the date of borrowing are determined by the librarian on duty.
- Rental period:
-up to 30 days for PhD students from SGGW, employees of SGGW who are not academic teachers and retired employees of WULS-SGGW,
-up to 6 months for research employees of the Warsaw University of Life Sciences,
-up to 12 months for chairs and other organizational units of the University that make long-term loans. - Books borrowed for a period of 12 months by Chairs and other organizational units are assigned to the account of the the Chair Head. The borrowed collections are not included in the set limit of his or her individual borrowings.
- In the faculty library, at the place designated by the librarian on duty, diploma theses may be used in accordance with the Rector’s Ordinance no. 22 of 30 November 2004.
- The following persons can use the library resources:
- research employeess and people writing doctoral and postdoctoral theses at universities and scientific institutions,
- SGGW students on the basis of the written permission of their supervisor,
- students from outside SGGW on the basis of the written permission of their supervisor and the supervisor or head of the SGGW unit, under whose supervision the thesis was written,
- in justified cases, other persons may use the diploma theses on the basis of the written consent of the supervisor or the head of the unit in which the thesis was written.
- on which the supervisor may consent to the use of diploma theses, available on the website of the Library or from the librarian on duty.
- .
- The following cannot be borrowed from the Reading Room:
- textbooks,
- publications for which there is a particularly high demand on the part of students
- and the collections included in chap. I point 8.
G. Fiction Lending Room
- The following persons are entitled to use the Fiction Lending Room: students, research employees of the Warsaw University of Life Sciences, employees of the Warsaw University of Life Sciences who are not academic teachers, doctoral students of the Warsaw University of Life Sciences and SGGW retired faculty
- You can borrow 3 volumes at a time.
- There is a 30-day rental period.
- The deadline for borrowing books can be extended twice.
- The remaining rules of loans are valid as in chap. II, point A.
III. INTERLIBRARY RENTALS
A. Importing publication from national libraries
- As part of interlibrary loans, the Main Library Reading Room imports books from national libraries (excluding Warsaw ones), which it does not have in its own collections, to research employees and employees who are not academic teachers of the Warsaw University of Life Sciences, PhD students, students and retired workers of the Warsaw University of Life Sciences.
- Readers from units with departmental libraries should place orders for materials from national libraries in their Library.
- Books from national libraries are imported free of charge.
- The imported materials are made available within 2 weeks, only on the site.
- The Main Library and departmental libraries do not issue slip sheets (“rewers”) for individual interlibrary loans.
- The Main Library and faculty libraries do not import materials from Warsaw libraries.
C. Importing xerographic copies
- BG i biblioteki wydziałowe sprowadzają odbitki kserograficzne wydawnictw, których nie posiadają w swoich zbiorach.
- Zamówienia przyjmowane są wyłącznie od studentów i realizowane po uiszczeniu zaliczki.
- Odbitki są wydawane po opłaceniu pełnych kosztów w Kasie Uczelni.
- Pracownicy i doktoranci SGGW sprowadzają odbitki kserograficzne za pośrednictwem swoich katedr lub innych jednostek organizacyjnych Uczelni z pominięciem biblioteki.
- BG i biblioteki wydziałowe nie sprowadzają odbitek kserograficznych z warszawskich bibliotek.
D. Lending the library’s collection
- The Main Library and Departmental Libraries lend their collections to libraries in the country in accordance with the applicable regulations on interlibrary loans.
- Interlibrary loans to foreign libraries are provided by the Reading Room.
- The dates of borrowing books from the Library are determined directly at the time of borrowing.
- The shipping costs of borrowed library materials are borne by the ordering library.
As part of interlibrary loans, the Library makes photocopies of materials that cannot be borrowed for a fee, taking into account the provisions of the applicable copyright law.
The amount of fees for the made and sent xerographic copies is determined by the Rector of the University at the request of the Library Director.
Interlibrary loans do not apply to the Library’s collections listed in chapter I point 8
IV. INFORMATION ACTIVITES
Oddział Informacji Naukowej
- Scientific Information Department
- The information activity of the Main Library of the Warsaw University of Life Sciences is conducted and supervised by the Scientific Information Department (Oddział Informacji Naukowej – OIN).
- The Scientific Information Department provides information services in the scope of the Library’s own collections (catalogs), collections of the SGGW library and information system (catalogs, databases, internet) and other libraries, depending on available sources.
- The Scientific Information Department conducts teaching activities through:
- library training for students,
- training in the use of available information sources,
- providing information on the activities of the SGGW Library to various user groups (including Accreditation Committees, future students of the University, etc.).
- Scientific Information Department develops a bibliographic database of publications of SGGW employees and makes it available on its website.
- Scientific Information Department helps in searching for literature for diploma theses carried out at the Warsaw University of Life Sciences.
V. RESPONSIBILITY FOR SHARED COLLECTIONS
- The User bears full financial responsibility for any damage to the borrowed library materials, not disclosed at the time of borrowing.
- The reader should check the condition of the book before borrowing it, and report any damage to the librarian immediately.
- In the event of damage or loss of the book, the reader is obliged to buy the same title or pay the SGGW cash equivalent in the amount of the market value of the book, adding the current cost of binding and a special fee. The amount of the fee is determined by the Rector of the University at the request of the Library Director.
- The value of lost books is determined by the release agendas based on the regulations issued by the Rector of the University at the request of the Library Director.
VI. OBLIGATIONS OF READERS
- Students graduating before receiving their diploma or dropping out of studies are required to:
- return of all library materials,
- submit a circulation card at the Student Textbook Lending Room in
- order to settle all obligations towards the Library.
- Before termination of their employment relationship with the University, employees and doctoral students of SGGW are required to:
- return all library materials,
- submit a circulation card in the following order::
- Faculty Library
- Fiction Lending Room
- Student Lending Room
- Reading Room of SGGW Main Library, in order to obtain a final clearance from the Library.
VII. ORGANIZATIONAL AND ORDER REGULATIONS
- Readers shall remain silent in the reading rooms.
- Before entering the reading room, outer clothing should be left in the cloakroom, and all kinds of travel bags, backpacks, and non-transparent plastic bags in the lockers next to the cloakroom.
- It is forbidden to bring food and drinks into the reading room and it is forbidden to use cell phones.
- The used collections in the reading rooms should be put on trolleys.
- The last orders for publications from the Storage Room will be accepted no later than 10 minutes before the closing of the reading room.
- Internet posts are closed 30 minutes before the Library closes.
- Readers are allowed to use their own electronic equipment.
VIII. FINAL PROVISIONS
- Readers are required to read the content of these regulations and comply with the provisions contained therein.
- Librarians are required to provide readers with the Library’s regulations at their request.
- Failure to comply with the provisions of these Regulations authorizes the Library Director to limit the rights or deprive readers of the right to use the collections.
- Decisions on other issues related to the disclosure of collections that have not been included in these Regulations are made by the Director of the SGGW Main Library
- As of the date of entry into force of these Regulations, the previously applicable provisions in this regard shall cease to apply.
